Stop Clicking Through Events One at a Time — Your Assistant Can Staff and Schedule

Your AI assistant can now assign reps to events and build day-by-day schedules in plain English — preview first, confirm once, then write assignments and hours for one event or fifty.

Peak season staffing is a marathon of the same three steps: open the event, assign the rep, set the hours. Repeat forty times. You know what needs to happen — Maria goes to Tustin next week, selling hours 9:45 AM to 8:30 PM — but the platform makes you click through each event individually. You stay in data-entry mode instead of decision mode.

Your AI assistant already answers questions about your ZenShows account. Now it can take action on staffing and daily schedules — the same work your operations team does event by event, without opening each show one at a time.

Two capabilities that work together

Assigning a rep puts them on the event roster. Building the daily schedule puts hours on the calendar — setup days, selling days, travel blocks — so check-in, timesheets, and the field app line up with the plan.

Ask in plain English: “Assign Maria to the Tustin event next week, skip the assignment email, then put her on selling from 9:45 AM to 8:30 PM.” The assistant finds the event and the rep, shows you a preview of what will change, and — once you confirm — writes the assignment and the day-by-day schedule into ZenShows.

You can do this one event at a time, or in bulk. Staff dozens of events from a list. Replace schedules across a wave of shows in a single conversation. Every write starts with a preview, so nothing lands in production until you say yes.

Preview first, then confirm

Every assignment and every schedule change can be inspected before it is saved. Conflicts, people already on the event, and what the new shift list will look like show up in the preview. That is the safety net that makes bulk work feel safe.

You describe the outcome — who, which store, which days, which hours — and the assistant does the lookups and the writes. You stay in review mode instead of clicking through forms.

Bulk work matches how operations thinks

“Staff these forty warehouse events from this roster.” “Put selling hours on every Costco event starting next Monday.”

Bulk assign covers up to 500 assignments in one pass. Bulk schedule updates cover up to 50 events and 500 shifts per request. Large waves can be chunked and finished in a few confirmations instead of an afternoon of clicking.

What changes day-to-day

How to try it

  1. Connect your assistant (if you have not already). In ZenShows, go to Company Settings → API Access and copy your API key (it starts with zs_). In Claude Desktop, Cursor, or another MCP-compatible tool, add the server https://www.zenshows.com/mcp and use that key as the Bearer token.
  2. Confirm permissions. The user behind the API key needs permission to view and manage event staffing, and to view and edit daily schedules — the same rights you would need in the ZenShows UI.
  3. Assign someone. Try: “Who is on event [store + dates]? Assign [rep name] as Representative, and don’t send the assignment email. Preview first.” Review the preview, then ask the assistant to confirm.
  4. Build the schedule. Try: “For that same event, set [rep] on a setup day yesterday 8:30 AM–2:00 PM and selling on the event days 9:45 AM–8:30 PM. Preview, then confirm.”
  5. Go bulk when you are ready. Paste a list of events and reps, or describe a wave (“staff these warehouse events from this roster, then apply the standard selling hours”). Ask for a preview, confirm in chunks if the list is large, and spot-check a couple of events in ZenShows afterward.
  6. Verify in the product. Open the event’s staffing and schedule views. The roster and the day hours should match what you confirmed with the assistant.

If you already use MCP for analytics questions, there is nothing new to install — staffing and schedules are on the same connection. If something in a preview or a write does not match what you see in ZenShows, tell us what you asked, what you got, and what you expected.
